Job Title: Executive Assistant with Member Services Focus
Reports To: Executive Director
Summary:
We are seeking a highly organized and proactive Executive Assistant to support our Executive Director, with a strong focus on member services. The ideal candidate will be a polished professional with exceptional communication, interpersonal, and problem-solving skills. This position requires the ability to manage confidential information with discretion, anticipate needs, and handle multiple priorities in a fast-paced environment. The successful candidate will be adaptable, a quick learner, and able to thrive in an ever-changing environment.
Responsibilities:
Executive Support:
- Manage and maintain the Executive Director’s calendar, scheduling meetings, calls, and appointments.
- Assist in keeping the Executive Director on task and on schedule.
- Prepare, edit, and manage correspondence, reports, presentations, and other documents.
- Screen and prioritize incoming calls and emails, handling inquiries as appropriate.
- Coordinate and attend executive meetings, including scheduling board meetings, taking minutes, drafting minutes, and following up on action items.
Member Services:
- Serve as the primary liaison between the Executive Director and members, ensuring effective communication and prompt resolution of inquiries.
- Collaborate with the Communications and Membership Director to develop and implement strategies to enhance member engagement and satisfaction.
- Assist with the planning and execution of member events and activities.
- Support membership management, including maintaining the member database and tracking renewals.
- Work with staff to address member concerns and feedback.
Project Management:
- Lead or participate in special projects as assigned by the Executive Director.
- Coordinate project timelines, resources, and deliverables.
- Track project progress and provide updates to staff.
Qualifications:
Education:
- Associate’s degree in Business Administration, Communications, or a related field required. Certified Administrative Professional (CAP) credentials preferred.
- Bachelor’s degree in lieu of an Associate’s degree is preferred.
Experience:
- 5+ years of experience in an executive administrative or senior administrative role.
- Experience in member services or customer relations is preferred.
Skills:
- Excellent verbal and written communication skills, with the ability to interact effectively with diverse partner organizations and groups.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and other relevant software.
- Exceptional organizational, time management, and prioritization skills.
- Strong analytical and problem-solving abilities.
- Demonstrated ability to manage confidential information with discretion.
- Excellent interpersonal skills with a strong passion for member service.
- Experience with membership databases or CRMs.
- Familiarity with project management software (Trello preferred).
- Familiarity with generative AI tools is a plus.
Travel:
- This position requires domestic travel at various points throughout the year.
Additional Information:
- This is a full-time remote position with a competitive salary and benefits package. We offer a collaborative and supportive work environment with opportunities for professional development. The salary range is $55,000-$65,000, commensurate with qualifications and experience.
